What are Files for?
You can:
- keep work files at a distance of a click;
- find the right document in a few seconds;
- send attachments to colleagues.
Files
General Actions
File is a Smarty CRM object. The same actions are available with it as with other system objects.
Special Actions
How to Upload a File?
- In the Files section, click Upload.
- In the window that appears, select the file from your device.
How to Go to a File Card?
From the section:
- in the Files section, hover over the desired file;
- select the three points that appear at the top right;
- in the drop-down list, select Open.
Using the preview:
- click on the file to preview it;
- in the window that opens, click Go to the file card.
How to View the Original?
From the file card:
- go to the file card as described above;
- select Open.
Using the preview:
- click on the file to preview it;
- in the window that opens, select Open original.
How to Download, Move, Rename or Remove Files?
From the section:
- hover over the file;
- click on the three points that appear at the top right;
- in the drop-down list, select the desired action.
From the file card:
- go to the file card as described above;
- select the desired action.
Attention!
There is no Archive for the files. Files are removed forever.
When moving a file, dragging is also available.
Folders
What is Folder?
Folder is the Smarty CRM directory for storing subfolders and files.
How to Create a Folder?
- In the Files section, select Create in the area above.
- In the window that opens, enter the name of the folder and click Create.
How to Rename, Move or Remove a Folder?
- In the Files section, hover over the folder.
- Select the three points that appeared at the top right.
- In the drop-down list, select the desired action.
Why Do You Need the Uploaded files Folder?
Files are uploaded there from your device by default when you link or attach them. Folder cannot be edited, moved and removed.
Groups
What is Group?
Group is the Smarty CRM repository with folders and files.
What is the Difference Between Common Groups and Employee Groups?
A common group stores files for all workspace employees. An employee group stores just employee personal files.
How to Create a Group?
- In the Files section, find the Groups in the area on the left.
- Select the Plus sign.
- In the window that opens, enter the name of the group and click Add.
How to Rename a Group?
- Hover over a group plate.
- Click on the Pencil sign that appears.
- In the window that appears, enter a new name and click Save.
How to Swap Groups?
- Click on the group you want to move.
- Hold the plate for a second and move the group to the right place.
How to Remove a Group?
- Hover over a group plate.
- Click on the Pencil sign that appears.
- In the window that appears, click Remove.
Access Rights
Administrator Rights
He has access to his files and employee files.
What can an administrator do with employee files and folders?
- Edit, move and remove folders;
- Move, link and remove files.
Administrator can not add or remove a folder or an employee file.
Employee Rights
Employees have access only to their files, if allowed by the workspace administrator. Learn about setting permissions.
Files can be accessed by employees with any status, including those with the Unpaid status. To do this, you must give them the rights to the Files section.
Limits
